Privacy Policy

1. Information we collect
We collect:
- Account information — your name, email address, and password (stored only as a secure hash) when you sign up.
- Business and bookkeeping data — the company details, master data, transactions, attachments, and reports you enter. This may include personal data about your customers, suppliers, and employees that you choose to record.
- Usage and technical data — basic information your browser sends, such as device and browser type and the pages you visit, plus logs we keep to operate and secure the Service.
We do not collect more than we need, and we do not ask for sensitive personal information that the Service does not require.
2. How we use your information
We use your information to:
- provide, maintain, and improve Bizmate and its features;
- keep your account secure and prevent abuse or fraud;
- respond to your messages and provide support;
- send you essential service messages — for example, about your account, billing, or important changes; and
- meet our legal and regulatory obligations.
We do not sell your personal information, and we do not use the contents of your books for advertising.
3. Legal bases for processing
Depending on the situation, we process personal data because it is necessary to perform our contract with you (providing the Service), because you have given consent, because we have a legitimate interest (such as securing and improving the Service), or because the law requires it. As the business recording your customers’, suppliers’, and employees’ data, you act as the personal information controller for that data, and Bizmate processes it on your behalf.
4. How we share information
We share personal data only when needed, and we never sell it:
- Service providers — trusted vendors who host and operate Bizmate on our behalf (for example, our cloud database and hosting provider), under agreements that require them to protect your data and use it only to provide their services to us.
- Legal reasons — when we believe in good faith that disclosure is required by law, regulation, or valid legal process, or is needed to protect rights, safety, or the integrity of the Service.
- Business transfers — if Bizmate is involved in a merger, acquisition, or sale of assets, your data may transfer as part of that transaction; we will let you know if it becomes subject to a different privacy policy.
5. How we store and protect your data
Your data is hosted with reputable cloud infrastructure providers. Each company’s data is isolated and is only ever written through validated server functions, and posted ledger entries are append-only — so your history stays auditable and cannot be quietly changed. We protect data in transit with encryption and apply access controls on our side. No method of storage or transmission is completely secure, but we work to protect your information and to limit who can access it.
6. Data retention
We keep your information for as long as your account is active and for as long as we need it to provide the Service. After you close your account, we may retain certain data for a limited period to comply with legal, tax, accounting, and audit obligations, or to resolve disputes, after which we delete or anonymise it.
7. Your rights
Under the Data Privacy Act, you have the right to be informed about, and to access, correct, object to, or request deletion of, your personal data, the right to data portability, and the right to lodge a complaint with the National Privacy Commission. To exercise any of these rights — or if you have a privacy concern — contact us using the details below and we will respond as required by law.
Much of your bookkeeping data is also available to you directly: you can view, edit, and export it from within Bizmate at any time.
8. Cookies and local storage
Bizmate uses cookies and your browser’s local storage for essential purposes — chiefly to keep you signed in and to remember preferences such as your light or dark theme. These are necessary for the Service to work; we do not use them for third-party advertising.
9. Children's privacy
Bizmate is intended for businesses and adults. It is not directed at children, and we do not knowingly collect personal data from anyone under 18. If you believe a child has provided us personal data, contact us and we will delete it.
10. International data transfers
Bizmate primarily serves users in the Philippines. Some of our service providers may store or process data on servers located in other countries; where they do, we take steps to ensure your data continues to be protected consistently with this policy and with applicable law.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you in the app or by email.
